Apostille & Document Legalization in Nepal: Embassy Requirements Explained

Understand the document legalization process in Nepal — why apostille is not available, the full consular legalization chain, embassy-specific requirements, and how to prepare your documents.
Introduction
When documents issued in Nepal need to be used in a foreign country, they must undergo a process of authentication and legalization to be recognized as genuine by the receiving country's authorities. Many people ask about apostille for Nepali documents — but Nepal does not issue apostilles.
This guide explains why apostille is not available in Nepal, the alternative legalization process, embassy-specific requirements, and how to prepare your documents for international use.
What is an Apostille?
An apostille is a simplified form of document authentication established by the 1961 Hague Convention (formally known as the Hague Convention Abolishing the Requirement of Legalisation for Foreign Public Documents). Countries that are parties to this convention can issue apostilles, which are recognized by all other member countries without further legalization.
Nepal is not a party to the Hague Apostille Convention. Therefore, Nepali documents cannot receive an apostille. Instead, they must go through the full consular legalization chain.
The Consular Legalization Chain
Step 1 — Notarization: The document is first notarized by a licensed notary public in Nepal. This is the foundation of the legalization chain. For translations, the translator swears an affidavit and the notary attests both the translation and the affidavit.
Step 2 — Ministry Attestation: The notarized document is then verified by the relevant line ministry. For educational documents, the Ministry of Education verifies the notarization. For commercial documents, the Ministry of Industry, Commerce, and Supplies.
Step 3 — MoFA Authentication: The Ministry of Foreign Affairs (MoFA) authenticates the ministry's attestation. This confirms that the document has been properly verified through the government chain.
Step 4 — Embassy Legalization: Finally, the destination country's embassy or consulate in Nepal legalizes the document, confirming that it is authentic and acceptable for use in their country.
Embassy-Specific Requirements
Each embassy has its own specific requirements for document legalization. Some common variations include:
United States: Requires notarization by a registered notary, MoFA authentication, and then legalization by the US Embassy. Specific document formatting requirements apply.
United Kingdom: The British Embassy may require documents to be verified by the relevant ministry before MoFA authentication. Some documents may need to be translated by approved translators.
South Korea: Strict requirements for educational document verification, specific translation format, and embassy appointment scheduling.
Japan: Requires documents to be processed through the MoFA with specific stamps and certifications.
It is essential to check the specific requirements of the target embassy before starting the legalization process, as requirements change periodically.
